Biometric Release

Your face. Your results.

XPE Nashville uses facial recognition so athletes check in fast and every result lands on the right athlete's profile. This release explains exactly what we collect, how it's used, and when it's deleted. Last updated July 7, 2026.

1. What We Collect

When an athlete enrolls, we take one or more photos of the athlete's face and convert them into a mathematical face template (a "scan of face geometry"). The enrollment photos and the face template are the athlete's "face data," and they are biometric information. That is the only biometric information we collect — no fingerprints, no voiceprints.

2. How It's Used

  • Check-in. When the athlete arrives, a camera at the front matches their face to their profile and checks them in.
  • Result logging. When training results are recorded, facial recognition confirms which athlete is at the station — so every rep, time, and test lands on the correct athlete's profile and nobody can log results under someone else's name.

That's the whole list. Face data is not used to evaluate athletes, is not used for advertising, and is not used to identify or track anyone outside the facility.

3. Internal Use Only — Never Sold

We never sell, rent, lease, or trade face data, and we never share it for advertising or marketing. Face data stays inside XPE Nashville's own systems. It is disclosed only: (a) to the service providers that store and process it on our behalf under contract (currently Amazon Web Services); (b) if a law, subpoena, or court order requires it; or (c) with your written consent.

4. Storage & Security

Face data is stored with a secure cloud provider (currently Amazon Web Services), is encrypted in transit, and is protected with the same or greater care than we use for other confidential information. Access is limited to XPE Nashville systems and staff who need it to run check-in and results logging.

5. Retention & Deletion — The 60-Day Rule

While a membership is active, face data stays on file so check-in and result logging work.

If a membership is paused or canceled, we keep the athlete's face data for 60 days so a returning athlete can pick right back up. After 60 days, the athlete's face template and enrollment photos are permanently deleted. An athlete who comes back after that re-enrolls from scratch.

Business records that contain no biometric data — like signed agreements, billing history, and training results — may be kept longer for accounting and legal purposes.

6. Consent & Minors

By accepting the waiver during signup, you give XPE Nashville your written consent to collect, store, and use the athlete's face data as described in this release. If the athlete is under 18, you confirm you are the athlete's parent or legal guardian and you give this consent on the athlete's behalf.

7. A Condition of Membership

Facial check-in and verified result logging are how XPE Nashville operates — they protect every athlete's results and keep the facility secure. Because of that, this consent is a condition of membership. If you do not agree, do not complete signup; email team@xpenashville.com with questions first.

You may revoke this consent at any time by emailing team@xpenashville.com. Because check-in and result logging depend on it, revoking consent generally means ending the membership; the athlete's face data is then deleted on the schedule in Section 5.

8. Changes

If we ever change how face data is collected, used, or retained, we will update this page with a new "last updated" date and notify active members before the change takes effect.
